Employment grievance and disciplinary appeal: building a clear record

A workplace document should distinguish facts, concerns, policy requirements, evidence and the outcome requested. It should not turn every disagreement into an accusation that the records cannot support.

Read the policy and decision

Collect the contract, handbook, relevant policy, invitation, allegations, evidence, meeting notes and outcome letter. Record the dates on which each item was received.

Separate each ground

A grievance or appeal should identify each disputed event or finding, the employee's factual account, the supporting record and the reason the decision or process should be reconsidered.

Address fairness and evidence

Explain missing evidence, inconsistent treatment, factual errors, inability to respond, procedural departures or disproportionate outcomes only where the material supports them.

Request a workable outcome

State whether the request is for investigation, correction of records, a fresh hearing, reconsideration, a workplace adjustment, withdrawal or reduction of a sanction, or another specific result.

Do not lose external deadlines

An internal procedure does not automatically extend every statutory time limit. Check current ACAS and tribunal information promptly where external proceedings may be relevant.

Practical checklist

  • read the complete notice, claim, decision or agreement
  • record issue, receipt, service and hearing dates
  • identify the exact outcome required
  • separate supported facts from assumptions
  • link each disputed point to a document or other evidence
  • check the current official form, fee, filing and service route
  • verify every statement before signing or filing
